This Privacy Policy explains how Present Day Production Ltd ("we", "us", "our") collects, uses, stores and shares personal information when you use Studiology ("the Service"), and what rights you have over that information. It should be read alongside our Terms and Conditions.

We are the "data controller" for the personal information described in this policy - meaning we decide what information is collected and why. If you have any questions, see Contact Us below.
When you sign up, our authentication provider (Clerk) collects your name, email address, and login credentials. We receive and store your name and email address against your Studiology account so we can identify you, secure your account, and communicate with you.
Studiology is built around you telling Elgar about your business. As you work through the 32 modules and use the Operations Hub (CRM), you provide us with information such as your income goals, pricing, niche, target customers, marketing plans, and other business strategy details, along with information about your own clients that you choose to record - names, contact details, project scope, fees, payment status, files you upload, and notes you keep. All of this is stored against your account so the product can work the way it's designed to: remembering your business over time and helping you run it.
Subscription payments are handled entirely by Stripe, our payment processor. We do not receive or store your full card details on our own systems. We do receive limited billing information from Stripe (such as your subscription status, billing address for tax purposes, and invoice history) in order to manage your account.
We store your conversation history with Elgar (across the modules, the Operations Hub, and Support Elgar) so the product can reference earlier answers, track your progress, and generate reports. If you contact us directly (for example, via email or a bug report), we keep a record of that correspondence.
If you consent via the cookie banner, we collect usage data such as pages visited, features used, and general navigation patterns, using PostHog. See Cookies and Analytics below for full detail, including what is deliberately never collected.
Like most online services, our infrastructure automatically logs technical information needed to operate and secure the Service, such as IP address, browser type, device type, and timestamps of requests.
Some text fields offer an optional microphone button that lets you dictate instead of type. This feature runs entirely in your browser using its own built-in speech recognition (the Web Speech API) - we do not build, host, or operate any part of it, and your audio is never sent to or stored on Studiology's own servers. On browsers such as Chrome, converting your speech to text is performed by that browser's own speech recognition service (Google's, in Chrome's case) - your audio is sent there directly by your browser to get text back, entirely outside of Studiology. This feature is opt-in (you choose to click the microphone) and never activates on its own.

Our legal basis for most of this processing is that it is necessary to perform our contract with you (providing the Service you have subscribed to). Where processing is not necessary for the contract - such as analytics - we rely on your consent, which you can withdraw at any time. Where relevant, we may also rely on our legitimate interests in operating and improving a safe, functioning product, balanced against your rights.
Elgar is an AI system, not a human. Elgar is built on Anthropic's Claude API, run on our own custom-built codebase. When you chat with Elgar, the content of your conversation - including relevant business and client data needed to give you a useful answer - is sent to Anthropic's API to generate a response, and Anthropic processes that data on our behalf as a data processor / sub-processor under its own data processing terms.
Anthropic does not use data submitted through its API to train its underlying models. Your conversations remain associated with your Studiology account, not with Anthropic's own consumer products.
Every AI chat surface in Studiology (the modules, the Operations Hub, and Support) carries an on-screen disclosure that you are interacting with an AI system, not a human - in line with our transparency obligations under the EU AI Act and general good practice for AI-powered services. Elgar's output is generated by a language model and, while designed to be genuinely useful, should not be treated as professional legal, financial, tax, or accounting advice - see our Terms and Conditions for the full disclaimer.
Studiology runs on a custom-built platform (not an off-the-shelf template), hosted on Railway, with data stored in a PostgreSQL database. Files you upload (contracts, briefs, deliverables) are stored using Backblaze B2, served via Cloudflare. We take reasonable technical and organisational measures to protect your information, including encryption of data in transit, access controls, and parameterised database queries to guard against common attacks.
We run automated nightly backups of our database to a private, non-public storage bucket, kept indefinitely as a historical record of the platform's growth as well as for disaster recovery. No system can be guaranteed 100% secure, and we cannot promise absolute security of information transmitted to the Service.
As a small team, direct administrative access to the underlying database - as opposed to Elgar's automated, in-product use of your data described in Section 4 - is restricted to the fewest people and tools genuinely necessary to run the platform. As of the date at the top of this policy, that means our founder, James, is the only person with this kind of direct access. If this ever changes - for example, if a team member is assigned a specific debugging or support task - access will be granted only for that purpose, and this policy will be updated to reflect it.
Our AI coding assistant (Claude Code, by Anthropic) also has direct database access as a normal part of how we build and maintain Studiology - for example, to debug a reported fault, run a database migration, or investigate an issue with your account at your request. This is separate and distinct from Elgar, the in-product AI mentor described in Section 4: Claude Code is a development tool that runs locally on our founder's own computer, used under his direct instruction and supervision for a specific task and then finished, not an automated process running against your account on an ongoing basis. It connects only to Anthropic's API (the same sub-processor relationship already disclosed in Section 4) and to our own database - it does not upload, forward, or expose your data to any other third-party service, platform, or dashboard.
We keep an internal audit log recording each occasion someone accesses a member's individual data this way - who accessed it, whose data it was, and the reason. This log exists specifically so that "was my data looked at, and why" is always a question we can answer from a real record, not just from memory. If you would like confirmation of whether your own data has been accessed this way, contact us using the details in Section 14.
We do not sell or rent your personally identifying information to third parties for their own marketing purposes. We share information only with the following categories of recipients, each acting as our data processor or otherwise bound by appropriate safeguards:

We may also disclose information where required by law, to protect our legal rights, to investigate fraud or security issues, or in connection with a merger, acquisition, or sale of some or all of our assets - in which case we would ensure the recipient is bound by terms at least as protective as this policy.
Beyond the individual use of your account described above, we may aggregate data across members - for example, pricing floors, offer structures, and revenue figures - to produce anonymised, non-identifying benchmarks and insights (such as "typical pricing in a given niche"). This aggregated data does not include your name, business name, email address, client details, or any other information capable of identifying you or your business, and is combined across a sufficient number of members that no individual member's figures can reasonably be singled out.
We reserve the right to use, publish, license, or sell this aggregated, anonymised data - for example, as part of an industry benchmarking report or dataset - for research, product improvement, or commercial purposes. We will never sell or share your data in a form that identifies you or your business without your separate, explicit consent.
We are based in the United Kingdom. Some of our service providers (including Anthropic and Stripe) are based in, or process data in, the United States or other countries outside the UK. Where we transfer personal data outside the UK, we rely on appropriate safeguards recognised under UK data protection law, such as Standard Contractual Clauses or the UK International Data Transfer Addendum, as provided by those processors.
We retain your account and business data for as long as your account remains active, and for a reasonable period afterwards in our backups (see Section 5). You can permanently delete your account and associated data at any time from the Danger Zone in your Account settings. Deleting your account removes your live data from the product; a copy may persist in historical backups for a period afterwards as part of our disaster-recovery process.

We use PostHog, a product analytics tool, to understand how members use Studiology - for example, which pages are visited, which buttons are clicked, and how far someone scrolls through a page. This helps us find bugs, improve the product, and prioritise what to build next.
Analytics only runs after you accept the cookie banner shown on your first visit. You can review or change your choice at any time from the Privacy section of your Account page.
We use session replay to see how members navigate the site. Anything typed into a form field - including chat messages, business details, and any other text input - is automatically masked and never recorded by this tool. Your conversations with Elgar are stored separately in our database as a core part of how the product works, not through analytics.
If you are logged in, analytics events are linked to your Studiology account so we can understand usage patterns across your visits. This data is not sold or shared with third parties beyond PostHog acting as our data processor.
Studiology is a business tool intended for use by adults running or building a business. It is not directed at, and we do not knowingly collect information from, anyone under the age of 18.
We may update this Privacy Policy from time to time, for example to reflect changes in our practices or for legal reasons. We will update the "Last updated" date at the top of this page when we do. Continuing to use the Service after a change takes effect means you accept the revised policy.
